This page is for our new club members who do not yet really know how an annual general meeting is conducted.
Roughly speaking, one can say that the members always have the opportunity to speak at the end!!!
The annual general meeting of an allotment association typically follows a structured process to make important decisions and ensure transparency. Here are the typical steps:
- Invitation to the meeting – The Board shall invite all members in a timely manner, clearly stating the location, date and agenda items.
- Opening of the meeting – The chairperson or a deputy chairperson opens the meeting and establishes the quorum.
- Reports of the Board of Directors – This is followed by reports on club activities, finances and other relevant topics.
- Discharge of the Board of Directors – The members vote on whether the board of directors should be discharged for the past year.
- New elections (if necessary) – If board elections are pending, candidates will be presented and elected.
- Discussion and voting – Members can raise concerns, vote on proposals and set future goals for the association.
- Miscellaneous & Conclusion – Any outstanding questions will be clarified before the meeting is officially closed.
